Destination

The main theme of the Congress and all accepted panels and papers will be maintained in the Congress Program.

All Congress registrations remain valid.

The Early Bird Registration deadline has also been extended to 13 April 2016. If you completed your registration before 25 February 2016 and no longer wish to attend the Congress, please contact us at wc2016@ipsa.org and we will refund 100% of your registration fee (membership fees are non-refundable). The regular refund policy will apply to all completed registrations after 25 February 2016.

If you have already booked your hotel in Istanbul, please notify your hotel immediately to cancel your reservation.

Each delegate is responsible to inform their hotel and cancel the hotel reservation accordingly. Please note that IPSA is not responsible for any cancellation fees or non-refundable reservations made by participants.

Please check with your airline for options on cancellations or changes of destination. Your credit card provider may also offer Trip Cancellation insurance.

Unfortunately, IPSA is unable to refund for flights that have been already booked to Istanbul.

Registration

Yes, all Congress participants must be 2016 individual IPSA members to register for the World Congress. You may become a member during the online registration process using your IPSA account. IPSA membership is not necessary to submit a panel or paper proposal; only for participation and attendance at the World Congress.

Registration fees are available on the Registration page.

A letter of invitation will be available to fully registered and paid delegates in electronic format (PDF) from "My Congress" user menu. Registration must be completed and paid before a Letter of Invitation is made available in the participant's online account.

Do not send e-mails requesting an invitation letter before you fill out your online registration and complete the payment.

Once the online registration is completed, click on “Registration” in "My Congress" user menu to access the following three documents in PDF format.

  • Invitation Letter
  • Official Registration Invoice
  • Official Registration Receipt

The registration fees give delegates access to the 5 day Congress Program comprised of over 500 panels, 5 Plenary sessions, Special sessions, Opening and Closing ceremonies and social events and receptions.

Fees do not include food and accommodations. Congress participants are responsible for covering all congress and travel expenses, such as plane tickets, accommodations, transfer from and to the airport, food, conference fees, etc.
 

Participants that have a role in the program (paper author, chair, discussant) must complete the online registration and pay the fees by May 5, 2016. Failure to do so will result in a withdrawal from the program.

Participants that will simply attend and do not take part in the Congress program can register online until July 28, 2016.

Participants that have a role in the program (paper author, chair, discussant) must complete the online registration and pay the fees by April 13, 2016 if they wish to appear in the Printed Program.

There will be a limited number of travel grants offered for congress participants. Travel Grant applications will be available on our website from December 2, 2015 to January 29, 2016.
In order to apply for the grant, the delegate must meet two criteria:

  1. must live and work (or study) in emerging/developing economies (list of eligible countries),
  2. must have an accepted paper in the congress program.

NOTE: All travel grant applications must be completed online using the IPSA account, without exceptions. E-mail requests will not be treated.

Registrations completed after 25 February 2016:

All cancellations must be sent in writing to the IPSA Secretariat at wc2016@ipsa.org. Registrations cancelled before April 13, 2016 will be refunded 50% of the registration fee paid; cancellations received as of April 14, 2016 and no-shows will not be refunded.

Please note: membership fees are non-refundable. New and renewed membership will continue to be valid even if registration to the World Congress is cancelled.
 

General

You will have the option to create an IPSA website account when submitting a paper or panel, or completing the registration. Individuals may also be invited to create an online account by a panel convenor in order to be included as a panel chair or discussant, or a paper co-author.

Program

The main theme of the Congress and all accepted panels and papers will be maintained in the Congress Program.

Each panel should include a chair and at least one discussant.

Each panel should include a minimum of 4 paper presentations and a maximum of 6.

A panel lasts 1 hour and 45 minutes. Depending on the number of panelists, each paper presentation should be 10 to 20 minutes long.

The Abstracts and the Full papers presented at the Congress in Poznan will be available (in PDF format) in the IPSA Online Paper Room on the website www.ipsa.org and will be available to all individuals with an IPSA online account.

IPSA does not publish a printed Book of Proceedings or a Book of Abstracts for the Congress.

You may submit multiple paper proposals however only one paper will be accepted in the final program.  Should more than one of your proposals be accepted, only 1 will be accepted in the final program and any others rejected.  You will have the choice to choose the proposal you wish to keep or appoint your co-author as the main author.

Each individual may only participate in the Congress Program once in each of the following roles: chair, co-chair, discussant, author, co-author.

  •   A participant may present up to two papers, but in two different roles, one as main author and the other one as co-author.
  •   "Papergiver" (author) may appear twice - once as a main author and once as a co-author.

Yes, you can edit your proposal until 13 April 2016.

You may edit your paper proposal by logging into your IPSA account, and selecting "My Congress":

  • Select the Paper Title (note that you may only make changes if you are the main author).
  • Click on the Edit tab to make changes to your paper title or abstract.
  • Click on the orange “Add a co-author” button to add a co-author.

You may edit your panel proposal by logging into your IPSA account, and selecting "My Congress":

  • Select the Panel Title.
  • Click on the Edit tab to make changes to your panel title or description, or to delete your proposal.
  • Click on the orange “Add a chair” button to appoint a chair.
  • Click on the orange “Remove” button to change the appointed chair and add another one.
  • Click on the orange “Add a Discussant” button to appoint a chair.

When you complete your online congress registration you will have the option to indicate your interest to serve as chair and/or discussant and select the session(s) of interest.

Paper authors (or co-authors) have to register and present their paper orally during the congress in Poznan in order to remain on the program and receive recognition (certificate or letter of participation).

Remote presentations (via Skype) are not acceptable.

Exhibition

All the reservations are still valid and we will contact you regarding your reservations after the new host city is selected.

Proposal Submissions

You will have the option to create an IPSA website account when submitting a paper or panel, or completing the registration. Individuals may also be invited to create an online account by a panel convenor in order to be included as a panel chair or discussant, or a paper co-author.

You do not need to be a member of IPSA to submit a proposal, however you must be signed up for a free IPSA website account to be able to submit a panel. In order to participate and register for the World Congress you must become an IPSA member. Registration fees are available at www.istanbul2016.ipsa.org/events/congress/istanbul2016/registration.

 

Paper proposals may be submitted from August 7 to October 14, 2015.

If you were invited to a closed panel, you must submit your abstract by November 3 with the submission link provided in the invitation from the panel convenor.

The submission process is shown in this brief tutorial: How to Submit a Paper? You will be asked to sign in your IPSA website account to be able to submit a proposal. If you do not already have an account, you will have the option to create one.

Before submitting a paper proposal, make sure that the following points are covered in your Abstract (max. 250 words):

  • the research question your paper investigates
  • how it relates to the Congress Main Theme
  • a very brief description of the methodological approach

All submitted proposals are accessible from My Congress user menu(Orange button in the top right corner of the congress website, once you are logged in).

You may propose and organize as many different panels as you like as convenor. You should be aware that you may only participate once as a chair, co-chair and discussant in the final program.

Duties of convenors, chairs and discussants are described in the Guidelines for Participation in IPSA World Congresses.

While you may propose more than one paper, you should be aware that you may only participate once as a papergiver (author) in the final program. Should more than one of your proposals be accepted, only one (1) will be accepted in the final program and any others rejected.  You will have the possibility to choose the proposal you wish to keep.

Yes of course! You may submit a panel proposal as the convenor or a paper proposal.

You may also act as chair or discussant on your panel. Panel convenors should ensure balanced representation in terms of region, gender and stage of career.
